However, for Maggie Wenz, Lead Web Developer and Digital Archivist for the Washington Capitals, that history was trapped in a chaotic assortment of “hanging file folders, mismatched binders, and random tubs.”
In her presentation, Wenz details how she partnered with the Digital Transitions team to transform this physical backlog into a streamlined digital asset, turning a daunting archival challenge into the engine for a season-long fan engagement campaign.
Building a Lab in the “Party Room”
One of the unique constraints of sports archiving is the need for speed and security. The team could not afford to ship its most precious memorabilia off-site during the active season. The solution was to bring the digitization lab to the arena. Wenz describes how the DT team set up a fully portable FADGI-compliant digitization studio inside a converted “party room” at the Capitals’ practice facility.
This on-site model allowed for a “triage” approach to preservation. Over a focused three-week period, the team processed over 12,000 images, 241 3D items (including skates and pucks), and nearly 1,000 scrapbook pages. By working side-by-side with the archivists, the digitization team could prioritize assets specifically for the “Top 50 Moments” campaign, ensuring that the most relevant history was digitized first.
This rapid, targeted workflow meant that assets were often being shared on social media just days after being pulled from the storage closet.
Digitizing the Past to Document the Present
Wenz emphasizes that a sports archive is not a dusty repository for the past, but a living tool for “documenting the present.” This is best illustrated by the team’s coverage of Alexander Ovechkin’s historic chase of the all-time NHL goals record. As Ovechkin approaches milestone numbers, the content team needs to pull up images from his rookie season instantly, his 500th goal, and his Stanley Cup run to build a comprehensive narrative.
Because the archive is now digitized and accessible, the social media team can weave these historical threads in real-time. A photo from 2005 is no longer buried in a binder; it is a few clicks away, ready to be juxtaposed with an image from last night’s game. This capability transforms the archive into a powerful brand asset that deepens the connection between the fans and the players’ ongoing legacies.
From Chaos to Searchability
The transition from physical tubs to a Digital Asset Management (DAM) system required more than just scanners; it required “detective work.” Wenz highlights the importance of rigorous metadata standards in making the archive usable. The team adopted a standardized naming convention (Year-Month-Day-Opponent) that allows any staff member to find photos from a specific game without needing to know the photographer or the file number.
Furthermore, identifying players in unlabeled 1970s negatives required cross-referencing game logs, roster data, and jersey numbers; a labor of love that salvaged players’ identities that might otherwise have been lost to time. By combining high-quality imaging with precise metadata, the Washington Capitals have ensured that their first 50 years are not just preserved, but are actively fueling the next 50.
